Getting Your School Ready for Photo Day: A Checklist for Coordinators

Photo day runs smoothest when one person owns the logistics and the timetable is locked well in advance. If that is you, here is what tends to matter most.

The week before

• Confirm your final class list and any late enrolments with us
• Share the site plan — where we will set up, and where classes queue
• Brief staff on the run order so classes are ready to move, not waiting to be found

On the day

Space and light matter more than most coordinators expect. A quiet, undisturbed area near natural light — a hall, library or covered walkway — makes a bigger difference to the finished portraits than almost anything else. We will scout this with you ahead of the day rather than improvising on the morning.

Keep transitions tight: the biggest time loss on photo day is not the photography itself, it is the gap between one class leaving and the next arriving. A staff member dedicated to queuing the next group keeps the whole day on schedule.

After the shoot
